2004/06/21, minutes/report: darkveggy
PEOPLE PRESENT
Edgar (.hr), Meinhardt (.de), Sebastian (.de), Darkveggy (.fr), Frenesi
(.it), Tora (.it), Teka (.fr), Decay (.fr), Ricola (.fr), Jimpulse
(.fr), Jamie (.uk).
ABOUT DECISION MAKING
We attempt to make practical decisions about key points. Most issues
have already been raised through the list, and though some of them
generated little feedback and thus haven't been collectively answered,
time is running short and we have to take decisions. Of course, the
process aims at being transparent and opened to all participants, which
implies the possibility to re-discuss some points if needed. Reports
will be sent to the mailing-list and decisions written/updated on the
wiki.
LIFE BEFORE THE HACKMEETING
A few people are there already, and more will be coming everyday to
organise the event. This raises the following questions:
We'll go shop supplies and cook 2 collective meals per day (noon,
evening). We'll rotate on tasks and define who does what every day for
the next, thanks to a daily meeting @ 8pm. Ricola's lending money to buy
supplies as of now, and will collect contributions each day (price
depending on daily costs). Kitchen should be a non-smoking area.
Latest guests have been sleeping in the old monte paradiso club. This
will be kept as a sleeping room for newcomers, until the hackmeeting
starts. We will most probably arrange another sleeping corner then.
GENERAL THK ORGANISATION
- general assemblies: we'll call for a daily general assembly at 8pm during THK, so that everyone can feel responsable for the hackmeeting, join and participate rather than "consume" the event.
- introduction flyer: because self-management is not obvious, and because people can't just guess how this is organized, we'll print a "welcome flyer" to be distributed to newcomers. It will sum up the organisation decisions, and explain how to get involved. Darkveggy and Sebastian are taking care of it, and submit their proposal to the wiki.
- information flyer: Monte Paradiso is located in Rojc, which is a big building with lots of NGOs and collectives, that don't even know about THK for the most. We want to inform them about the event, as well as inhabitants of Pula! A public information flyer is to be made (Decay and Meinhardt take care of it) and distributed in local internet cafes, etc. Edgar has some spare flyers in english, Darkveggy has some flyers in french
- printing: we can have limited amounts of copies done for free, everyday (besides holidays, and there will be a few), during working hours. Talk to Edgar.
- welcome infopoint: because the hackmeeting is about physical contact and we need to issue/answer information to people who arrive, we'll set up an infopoint near the entrance of the rojc building.
- secure storage, or "laptop for the night service" (meinhardt :P): we can use some rooms next to the kitchen to store things behind closed doors.
- visual material: we can get some posters, paper, pens and markers left from some previous meetings to produce information posters.
- text translations: if we need to translate some stuff in Croatian, we can ask Slaven, who works at the entrance of the Rojc and who's willing to help. He also speaks Italian and English.
- registration: to get an idea of the amount of participants, it was suggested we set up a non-compulsory registration at the entrance infopoint, people giving their nick, affiliation and city (as in oldschool demoparties), accessible from the network. Meinhardt takes care of it.
ROOMS AND SETTING UP
We have to set rooms for:
We'll use the billiard room as a sleeping place.
There's very few usable rooms, so we might have to use some rooms both
for workshop and for accomodation. Some other rooms are available in
another basement, on the 2nd floor.
This issue was posponed for tomorrow. We'll do a full visit of the
building and then decice.
MONEY
We'll need money to buy food supplies, gaz bottles, electronic and
computer equipement, kitchen binbags, toilet paper, among others. The
question is "how?"
- by asking for a free-price contribution at the entrance infopoint, the idea being to explain the situation and share the costs among all participants
- by setting a fixed price for food - calculated to match our expenses.
FOOD
Down the stomachs, yeah!
- supplies: we'll work together with Shapo, who usually handles that. We've been trying a few skips, asking around for left-others on the market, but didn't get extraordinary results.
- cooking: Shapo volunteers for working on meals, but he won't be there all the time, and we don't want him to be feeding us while we sit and wait; the idea is to set a collective process for cooking, cooking being part of the hackmeeting and people rotating.
- regime: we'll cook vegan, because everyone can eat the food, plus it's the cheapest.
NETWORK
Come and see...
MEDIA
Tricky question, to be further discussed. The general idea is to prevent
media from being a hasle, while trying to voice a message across
(previous contact with local media have let to a positive article).
- general policy towards mainstream media: not allow media to take photos. There should be a fairly large group of people willing to deal with the media, that would talk to them and maybe walk them around the meeting. We reached consensus on that.
- some people think it would be a good idea to organise a press conference, as a way to gather media at a precise time, deal with them once and then not worry about it anymore (or less). The only possible day, because of holidays, would be friday. This should be decided really quick, to send communiques and stuff. This raised little motivation, no objection. Edgar has the contacts.
- an independent radio station from Sydney, Australia asked for an interview over the phone - Frenesi forwarded the mail to the list.
